Insights / Advanced Business Intelligence Adding Additional Widgets to a Dashboard

Dashboards can hold more than one chart or widget, and display multiple forms of data.

To add more widgets to a dashboard:

  1. Create a custom dashboard
  2. Click + Widget
  3. Click the + next to “Values” on the left-hand side

    • When hovering over the +, “Add +” will appear highlighted in yellow.
  4. Search or select fields in the “Data Source / Add a Field” pop-up. Selected fields will populate in the chart.

    • When hovering over a field, click More… to select a function.
    • Or, click the fx to create a new formula.
      • Enter the formula in Start typing your expression…
      • Search or select fields in the “Data Browser” tab.
      • Search or select functions in the “Functions” tab.
      • Click OK
  5. Hover over the field under “Values” and click 123 to change how the data is displayed on the dashboard.
    • Complete all of the fields in the “Field > Format Number” pop-up.

    • Click OK
  6. Click Apply
  7. The widget will be added to the dashboard. Widgets can be dragged to different locations and resized in the dashboard.

Insights / Advanced Business Intelligence Adding Filters to Dashboards

Filters can be added to dashboards to provide different views of the dashboard.

To add a filter to a dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. Select the custom dashboard being modified in the “Custom Reports” folder on the left-hand side
  3. Click + in “Filters” on the right-hand side
  4. Search or select labels in the “Add Filter” pop-up

  5. Select the checkboxes of labels to include in the filter
  6. Click OK

Insights / Advanced Business Intelligence Assigning Designer Dashboards

Users with the (Settings > Designer Seat Management) permission can assign levels of access to dashboards and reports in the “Settings” section of the Insights module.

To give users access to Advanced BI reports:

  1. Navigate to the Insights module and select Settings
  2. Click the Reports tab
  3. Click Manage Permissions next to the report users or permission groups will be given access to.
  4. In the manage permissions report pop-up, enter the name of the user or permission group given access in Add individual and/or group and select Give Access.
    • Users can also search individual users or groups to determine if they already have access to the report in the Search individual(s) and/or group(s) search bar.

  5. To change the level of access of each user, click the drop-down next to the user and select one of the following options:
    • Owner: makes a new user the owner of the report
    • Viewer: view-only level access to the report. All added users are given Viewer-level access by default.
    • Remove: removes user access to the report.

Insights / Advanced Business Intelligence BCBA Supervision in ABI

BCBA Supervision Dashboard in ABI on one BCBA’s hours spent on supervision. The BCBA Supervision Rate equals all supervision hours divided by all service hours by the BCBA. Supervision hours are calculated based on overlapping billing entries with service code under Supervision category by BCBA and service code under Direct Therapy category by BT. Both billable and non-billable billing entries are included while voided or deleted billing entries are excluded in the overlapping calculation.  

BCBA Supervision in ABI is based on the Supervision cube, which includes billing data from the last 12 months (from the beginning of the current month), the current month, and all future months based on service date. It is located in the Staffing section of the Insights module. 

  1. The Part I: BCBA Supervision Rate (all providers with supervision hours) graph displays an overall view of supervision rate by BCBA. Users can easily identify BCBA(s) spending more or less supervision hours compared to other BCBAs as a percentage of their overall service hours.  
    • The session date range defaults to the current and last quarters. Users can adjust and select the date range they want to review supervision for in the Session Date Range filter 
    • Users can filter by: 
      • supervisor office location, supervisor hire date, supervisor label or client label to narrow down the list of supervisors (I.e., BCBAs). 
      • supervisor name to select specific BCBA.  
    • Users are REQUIRED to choose one BCBA to review supervision for in Part II.

  2. Select a specific BCBA to view in Part II: Individual BCBA Supervision Details by clicking on their name or column on the Part I graph, or in the “Provider Name” filter on the right panel. Part II will auto-populate widgets with the following information: 
    • Supervision Rate
      • All Supervision hours the selected BCBA provided for BT(s) / All service hours for the selected BCBA.
    • Total Supervised Hours (and Total Service Hours)
      • All supervised hours and service hours by the selected BCBA. This allows users to understand how much time the selected BCBA has spent on supervision compared to overall service hours.
    • # of Supervised BT’s (and # of clients)
      • Total number of BTs and clients supervised by the selected BCBA. This helps users understand the selected BCBA’s supervision load and caseload.
    • BCBA Supervised Hours by BT
      • Bar graph of the selected BCBA’s supervision hours for each BT. This allows users to understand how a BCBA’s supervision hours are being distributed across all the BTs they supervise. BTs who have less supervision hours with the selected BCBA will appear on the left side of the graph, while BTs with more supervision hours are on the right side of the graph. BT Supervision Rate (with All BCBA Supervisors)
        • This table includes all the BTs supervised by the selected BCBA
        • Supervised Hours (with the selected BCBA only). This column displays each BT’s supervision hours with the selected BCBA. It is the same value as the graph above.
        • Total # of Supervisors. This column displays the total number of providers that have provided supervision to the BT, including the selected BCBA.
        • Supervised Hours (with All Supervisors). This column displays the total supervision hours for each BT, across all providers that have supervised them. If a BT has a low total of supervision hours with the selected BCBA, it may not be an issue as the BT could be fulfilling their supervision requirements with other supervisors.
        • All BT Direct Therapy Hours. This column displays the BTs total direct therapy hours which can provide insight into how a BTs time is being spent and if scheduling adjustment needs to be made to optimize a BTs service hours.
        • Total Supervision Rate. This column provides the BT’s overall supervision rate, including supervision hours from all providers. If a BTs supervision rate is less than the required 5%, it will be highlighted in yellow. This is helpful in determining which BTs need additional supervision hours. You may want to schedule more supervision hours if the BTs have low overall supervision rate, especially those have low supervision hours with the selected BCBA.
    • BCBA Supervised Hours by Client
      • Shows the distribution of the selected BCBA’s supervision hours by client. Since BCBAs aim to provide an equal supervision rate for their learners, this allows users to see if all clients are receiving a similar supervision.
    • BT Supervision Rate by Client (with All BCBA Supervisors)
      • This table provides insight into which clients are present during BT supervision sessions, how many hours a BT is supervised with a specific client, and the BTs supervision rate with a specific client. Selected BCBA: This reiterates the BCBA that was selected in this dashboard.BT Name: This column is a list of all BTs that have supervision sessions with the client. Supervised Hours (with the selected BCBA only): This column is the BT’s total supervision hours with the specific client under the supervision of the selected BCBA.
        • Supervised Hours (with all BCBAs): This column is the BT’s total supervision hours with the specific client across all BCBAs that have supervised the BT.
        • BT Direct Therapy Hours: This column is the BT’s total direct therapy hours with the specific client.
        • BT Supervision Rate for Client: BT Supervision Rate for client is all supervision hours with the specific client divided by all direct therapy hours with the specific client. Supervision rates of less than 5% are highlighted in yellow. Clients who have a lower BT Supervision rate are good candidates for BCBAs to schedule supervision sessions for the BT that requires more supervision.
    • Supervision Session Details
      • A record of all the supervision subsegments where the selected BCBA provided supervision to BTs. All information is arranged by service date so user can see how often the selected BCBA is providing supervision.

        • Client Name
        • Supervised BT
        • Supervised Hours
        • Supervision Service Code
        • Supervision Billing Link, which will bring user to the billing entries details in the Billing screen

Insights / Advanced Business Intelligence Creating a Custom Dashboard

Users with the (Settings > Designer Seat Management) permission can create custom reports in the Insights module.

To create a custom dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. Click + Custom Report on the left-hand side to create a new report
  3. In the “Name Your Report” pop-up:
    • Select a Data Source in the drop-down
    • Enter the Report Title
    • Click Create
  4. In the dashboard, click + SELECT DATA to create a new widget
    • Or, click fields next to “You might be interested in” to populate the data from those fields in the report.
  5. Search or select fields in the “Data Source / Add a Field” pop-up. The fields will populate on the dashboard.

    • When hovering over a field, click More… to select a function.
    • Or, click the fx to create a new formula.
      • Enter the formula in Start typing your expression…
      • Search or select fields in the “Data Browser” tab.
      • Search or select functions in the “Functions” tab.
      • Click OK
  6. Select an icon on the left-hand side to choose how to display the data.

    • Hover over each icon to find out the names of all of the charts and graphs.
    • A blue dot will appear over the selected icon.
    • Faded icons cannot be selected.
  7. Click + Add More Data… to add more data to the chart
  8. Enter the name of the widget in Add Title
  9. Click CREATE
  10. Add more widgets to the dashboard
  11. Click the vertical ellipsis icon on the right-hand side and select Publish Changes. This will make changes that were made visible to authorized users.
  12. Click Publish

Insights / Advanced Business Intelligence Duplicating and Deleting a Dashboard

Once a dashboard has been created, users can edit, duplicate, and delete the dashboard. 

To duplicate a dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. Select the custom dashboard being modified in the “Custom Reports” folder on the left-hand side
  3. Click the vertical ellipsis icon on the right-hand side and select Duplicate
  4. Click Duplicate in the “Duplicate Dashboard” pop-up

To delete a dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. Select the custom dashboard being modified in the “Custom Reports” folder on the left-hand side
  3. Click the vertical ellipsis icon on the right-hand side and select Delete
  4. Click Delete in the “Delete Dashboard” pop-up

Insights / Advanced Business Intelligence Editing a Dashboard

Once a dashboard has been created, users can edit, duplicate, and delete the dashboard

Please note, to edit a widget or dashboard, users must be a designer and owner of the dashboard.

To edit a dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. Select the custom dashboard being modified in the “Custom Reports” folder on the left-hand side.
  3. To rename the dashboard:
    • Hover over the dashboard’s title and click the pencil icon.
    • Enter the new name of the dashboard.
    • Click the green check to accept the new name or the red x to reject it.
  4. To rename a widget:
    • Double-click the name of the widget or Add Title, if the widget has not been named yet.
    • Enter the new widget title.
    • On the right-hand side, click the green check to accept the new name or the red x to reject it.
  5. Click the pencil icon on the right-hand side of a widget to edit the widget’s contents.
  6. Click Apply to save edits made to the widget

Insights / Advanced Business Intelligence How to Create Filters for Active Authorizations

To create filters for active authorizations:

  1. Select a date range filter for the field “Auth Group Start Date”

2. Click Advanced on the bottom left-hand side and set values, such as:

3. The same process must be completed for the end date field. Set values and switch the custom part.

4. Click OK

Insights / Advanced Business Intelligence How to Export Widgets

Widgets can be downloaded from either dashboards or while editing widgets, depending on the type of widget.

To download a widget from a dashboard:

  1. Within a dashboard, click the vertical ellipsis on the right-hand side of a widget and hover over Download >
  2. Select one of the following:
    • Image: exports the widget as a PNG file. 
      • The size of the image reflects the size of the widget in the dashboard at the time the image is downloaded. To change the size of the downloaded image, enlarge or reduce the size of the block of the widget in the dashboard.
    • CSV File: downloads data in the widget as a CSV file.
      • If any filters have been applied to the data, only the filtered data will be included in the file at the time of the download.
      • Please note, CSV files do not maintain table widget formatting, layout, structure, or values, such as subtotals. To maintain these, export the widget as an Excel file.
    • PDF File: downloads the widget as a PDF.
      • When downloading table widgets, the “PDF Report Settings” screen allows users to choose how tables will display in the PDF. Up to 10,000 rows in tables can be downloaded in PDFs.
        • Please note, when previewing the PDF in the “PDF Report Settings,” only the first 14 pages will display.
      • Users can customize:

        • Paper Size: select the page size of the PDF in the drop-down.
        • Orientation: select Portrait or Landscape to choose the page orientation.
        • Header: click the Title checkbox to include the widget’s title in the PDF.
        • Footer: click the Page Number checkbox to include page numbers centered at the bottom of the page.
      • Once the table has been customized, click Download
    • Excel File: exports the data in the widget as an .XLSX file that can be opened in Microsoft Excel. 
      • When exporting tables to Excel, if any filters have been applied to the data, only the filtered data, as well as the layout, structure, and masks, will be included in the file at the time of the download.
        • For example, if users have modified how currency, percentages, or numbers are formatted in the widget in CentralReach, the exported Excel file will reflect these changes.
  3. The file will then be downloaded to your computer.

Please note, the name of the file will reflect the widget’s title. If the widget does not have a title, the name of the downloaded file will be “widget.”

To download the widget while editing the widget:

  1. Within a dashboard, click the pencil icon on the right-hand side of a widget to edit the widget.
  2. On the right-hand side, click the file icon and select one of the following:
    • Download Image
    • Download CSV
    • PDF File
      • Customize table widgets in the “PDF Report Settings” and click Download
    • Excel File
  3. The file will then be downloaded to your computer.

Insights / Advanced Business Intelligence How to Save Default Filters

Users can default views of dashboards in the “Filters” menu. Default settings in the “Filters” menu include filters, filters’ configurations, and the order in which they appear. 

To save default filters:

  1. Within a dashboard, click the vertical ellipsis in the “Filters” menu and select Set as My Default Filters
  2. If any settings have been changed from the default filters, click the refresh icon to restore default filters

Insights / Advanced Business Intelligence Insights Module Settings

Users with the (Settings > Designer Seat Management) permission can manage report permissions, users, and designer licenses in the “Settings” section of the Insights module.

  1. Navigate to the Insights module and select Settings
  2. Select either the Reports, Users, or Designer Licenses tabs
    • Reports: Manage report permissions by giving or removing access to users and groups.

    • Users: Manage individual user permissions for reports.

    • Designer Licenses: Add or remove designers. To purchase additional designer licenses, please contact your Account Manager.

Insights / Advanced Business Intelligence Managing Designer Licenses

Organizations with Advanced Business Intelligence dashboards enabled may have one or more designer licenses. Users with the (Settings > Designer Seat Management) permission enabled can manage designer licenses in the “Settings” section of the Insights module.

To add designer licenses:

  1. Navigate to the Insights module and select Settings
  2. In the “Type to add designer…” search bar, type in the name of a user to assign a license to.
  3. Select the user

To remove designer licenses:

  1. Click the x next to the user’s name to remove them from the license list
  2. Click Remove in the “Remove License” pop-up

Insights / Advanced Business Intelligence The BT Supervision Dashboard

The BT Supervision Dashboard focuses on a single BT’s supervision hours to track their ability to meet their 5% supervision goal per month. This dashboard is located in the Staff Management folder of the Insights module.  

The Supervision Rate equals all supervised hours for the selected BT divided by the selected BT’s service hours. Supervision hours are calculated based on overlapping BCBA and BT hours where the BCBA is billing the supervision service code and BT is billing the direct therapy service code at the same time for the same client. This dashboard is based on the Supervision cube, which includes billing data from the last 12 months (from the beginning of the current month), the current month, and all future months based on service date.

The BT Supervision Dashboard is split into two parts to improve workflow: 

  1. The Part I: BT Supervision Rate (all providers with direct therapy hours) graph displays an overall view of supervision rate by BT. BTs that do not meet the required 5% supervision rate are displayed in yellow. 
    • The session date range defaults to the current and last quarter. Users can adjust and select the date range they want to review supervision by using the date range filter on the left panel. 
    • Users can filter by: 
      • Provider office location, provider hire date, provider labels, or client label to narrow down the list of direct therapy providers.
      • Provider name to select specific direct therapy provider.  
    • Users are REQUIRED to choose one BT to review supervision for in Part II.

  2. Select a specific BT to view in Part II: Individual BT Supervision Details by clicking on their name or/ column on the Part I graph, or in the “Provider Name” filter on the right panel. Part II will auto-populate widgets with the following information:
    • Supervision Rate (and # of Supervision Sessions)
      • Supervision Rate = All supervised hours for the selected BT/the selected BT’s direct therapy hours. This allows providers to see if the selected BT is meeting the 5% requirement.
      • Secondary value: Total number of sessions BT was supervised.
    • Total Supervised Hours (and Total Billable Hours)
      • This widget shows the supervised direct therapy hours and all direct therapy hours for the selected BT, which are used to calculate the BT supervision rate.
      • This helps the user to understand what the supervision rate means in actual direct therapy service hours.
    • Number of Clients (and Number of Supervisors)
      • This widget shows the total number of clients the selected BT has direct therapy with and how many supervisor(s) have supervision hours with the selected BT.
    • BT Monthly Supervision Rate
      • BT’s supervision rate from month-to-month. This allows users to understand if the BT supervision rate has been consistent in the past months and identify any decreasing or increasing trends.
      • Any month with supervision rate under the 5% goal line is highlighted in yellow to indicate that the BT did not meet the 5% supervision requirements that month.
        • BT Monthly Supervision Details
      • Month-to-month summary of BT’s supervision to provide a more detailed view of the monthly supervision trend:
        • Supervised Hours
        • Total Direct Therapy Hours
        • Supervision Rate
        • Number of Supervision Sessions
      • This table is useful in identifying why a BT may not have met supervision requirements in a certain month, and if it is an ongoing trend.
        • For example, the selected BT’s supervision rate is below 5% for the last two months and have a lower number of supervision sessions. If the BT’s direct therapy hours are consistently around 80-90 hours per month, this is more a sign of lower supervision hours, uncovering potential issues with BCBA availability or other scheduling conflicts.
    • BT Direct Therapy Hours by Client with Supervision Details
      • Reflects the supervised hours (in green) vs. non-supervised hours (in blue) for each client the BT has direct therapy with, as well as the supervision rate of each client with this BT only. This allows users to see how the supervised hours are distributed among clients and if specific clients would need more supervised hours with this BT.
      • If this BT requires additional supervision hours to meet requirements, it enables you to identify the client who would be in greatest need of scheduling.
        • For example, if client A has a supervision rate of 4% and has 10 supervision hours with the BT and client B has a supervision rate of 1.5% and has 200 supervised hours with the BT, one may want to schedule more supervision sessions with client B to increase the client’s supervision rate despite having more supervised hours than client A.
    • Supervised Direct Therapy Session Details
      • A record of all subsegment where the BT was supervised. Please note, The BT could only be supervised during part of the client session, so the supervised subsegment duration can be less than the whole client session duration.

To view the Authorization Analysis Report:

  1. Navigate to the Insights module and select Insights Home
  2. On the left-hand side, click the Client Management section
  3. Select the Authorization Analysis Report

  1. Navigate to the Insights module and select Insights Home

Insights / Advanced Business Intelligence Viewing Trends and Forecasts

Users can visualize data trends and predict what future data may look like using the “Analyze It” menu in Widgets.

Please note, this feature is currently only available for line charts.

To view Trends from a Dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. In Custom Reports, select a custom dashboard
  3. In a widget with a line chart, click Analyze It and then Trend
  4. Click the Show Trend toggle

    • Or, create a line chart in a new widget.
  5. The graph will display a linear trend line. Click Trend Settings to change the “Trend Type”

    • To compare current data to past data, click the Compare to toggle and then select Previous Year, Quarter, or Month in the drop-down.
    • To ignore outliers in the data, click the Ignore Anomalies toggle.
  6. Click Trend Information to view:
    • Trend Variable: The variable in the y-axis.
    • Trend Type: The type of trend line selected in the “Trend Settings”.
    • Trend Period: The trend’s evaluation period, or the period of time the data spans.
    • Trend Data: The data’s minimum, maximum, average, and median data points.
    • Number of Observations: The number of data points in the graph.
    • Trend Explainability: The slope of the trend line.
    • ‘R’ equation: A statistical measure that measures the correlation between the variables on the x and y axes.

      • The “R” value is the correlation coefficient of the data and will range from -1 to 1. Negative and positive R values indicate negative and positive correlations, respectively, while R values of “0” indicate no correlation.
    • Ignore Anomalies: Whether the “Ignore Anomalies” toggle in the “Trend Settings” was enabled or disabled.
  7. Hover over the trend line to view trend information specific to the data point.

To view Forecasts from a Dashboard:

  1. Navigate to the Insights module and select Insights Home
  2. In “Custom Reports,” select a custom dashboard
  3. In a widget with a line chart, click Analyze It and then Forecast
  4. Select Forecast Settings

  5. In the “Forecast Settings” pop-up, click the Visible toggle and complete:
    • Forecasted Variable: The forecast provided for the variable.
    • Evaluation Period: Select All past data or Recent period in the drop-down to choose the past data being evaluated for the forecast.
    • Forecast Period: In the “Next:” drop-down, enter the number of months in advance for the forecast to project.
  6. Click Apply
  7. Click Forecast Information to view:
    • Forecasted Variable: The variable the forecast is being provided for.
    • Explaining Variable: An additional variable that may affect the forecast.
    • Evaluation Period: The forecast’s evaluation period, or the amount of past data the forecast is being predicted for.
    • Model Formula: The data type the forecast is being calculated by.
    • Number of Modeled Observations: The number of data points in the forecast.
    • Confidence Level: The level of forecast certainty.
      • When set to a high percentage, the forecast will display a wider margin of error to ensure actual results fall within that range. If the required “Confidence Level” is reduced, there will be a narrower margin of error on the graph.
    • Forecast Explainability: the forecast model’s distribution.
  8. From the Dashboard, click the > on the right-hand side of the graph to display the Forecast.
  9. Hover over the dotted line in the graph to view forecast information specific to the data point.

To view Trends and Forecasts within a Widget:

  1. Within a custom dashboard, click the pencil icon to edit a widget.
    • Or, create a new widget.
  2. Hover over a variable under either “X-Axis” or “Values” and click the graduation cap icon. Then, click either Trend or Forecast.
    • If Trend is selected, the “Trend Settings” will display.
    • If Forecast is selected, the “Forecast Settings” will display.

  3. Click the Visible toggle in the “Forecast Settings” to view the Forecast.
  4. Click Apply once all settings information has been inputted.

To view the RCM Analysis Report:

  1. Navigate to the Insights module and select Insights Home
  2. On the left-hand side, click the Revenue Cycle Management section
  3. Select the RCM Analysis Report
