The Appointment Summary dashboard allows you to benchmark your practices’ overall performance and appointment trends by payor, client location, and more, to improve your scheduling performance. The information contained in this dashboard shows a summary of billing entry data for your organization, from the Billing module. This dashboard displays:

  • Client count: a count of all clients with an appointment within the last six months.
    • Matches the number of clients with billing entries with the same date range in the billing screen.
  • Hours worked vs appointments: number of appointments per month vs the number of hours worked.
    • Equals the number of entries and the sum of hours when no filters are applied to the billing screen.
  • Appointments by payor: number of appointments over the last six months, broken out by month and sorted by payor.
    • Equals the number of entries that appear when the payor is filtered in the billing screen.
  • Appointments by location: number of appointments over the last six months, broken out by month and sorted by location.
    • Equals the amount of billing entries based on the client’s location in the billing screen.

The Behavior Tech KPIs dashboard tracks your clinical technicians’ performance towards targets with unconverted timesheets that measure the average time from appointment to conversion, as well as billable hours charged versus established goals, to improve your clinical performance. This dashboard displays the following for the individual user logged in:

  • 30 day status KPIs: a distinct count of clients, unconverted appointments, and calculation of average conversion lag (the difference between the time of the appointment to the time of the billing entry was created) over the last 30 days.
  • Cancellation by reason: a breakdown of all cancelations over the last 30 days into percentage by reason.
  • Monthly breakdown: a sum of all time worked over the last six months broken out into billable, non-billable, and drive time in hours and sorted by month.
  • Time allocation: a sum of all time worked over the last six months broken out into percentages of billable, non-billable, and drive time.

This dashboard contains the following filters:

The Cancellation Analysis dashboard displays cancelled appointments by time of cancellation, location, client, and employee, to improve your scheduling performance. The data contained in this dashboard comes from the information in the “View As Grid” section of the  Scheduling module.

This dashboard displays:

  • Hours cancelled: the total number of hours cancelled in the last 30 days.
    • This number reflects the Total Hours of cancelled appointments located under the Stats tab on the left hand-side of the View As Grid screen.
  • Cancellation rate: percentage of total hours scheduled for appointments that have been cancelled.
  • Cancellations by client: a list of the 15 clients who cancelled the highest number of appointment hours over the last 30 days.
    • The client and total hours of appointments cancelled matches the cancelled appointments in the View As Grid screen.
  • Reasons for cancellation: a sum of cancelled hours over the last 30 days broken out in percentage by reason.
    • Groups the sum of hours cancelled by the custom cancellation reasons.
  • Cancellation by location: a count of cancellations over the last 30 days broken out by reason and sorted by location.
    • Shows the sum of cancelled hours by provider’s primary location and is stacked by cancellation type (e.g Client, provider, other).
  • Cancellation by provider: a count of cancellations over the last 30 days broken out by reason and sorted by provider.
    • Groups providers by the sum of cancelled hours, as seen in Total Hours under the Stats tab in the View As Grid screen, and is stacked by cancellation type (e.g. Client, provider, other).
  • 30 day appointment cancellation trends: the total number of cancellations per day over the last 30 days.

This dashboard displays:

  • Claims count: a total count of all claims created over the last six months.
    • Matches the “All column” when it is selected in the Claims Manager screen.
  • Claim status: a total count of all claims created over the last six months
  • Claim trends: a count of the number of claims created over the last six months broken out by individual month.
    • Matches the “Created” column in the Claims Manager screen.
  • Insurance company claims: a count of all claims created over the last six months broken out by insurance company.
    • Matches the “Payor” column in the Claims Manager screen.

  • Client count: a count of all current clients.
  • Gender distribution: all current contacts broken into percentages by gender.
  • Age by gender: count of current contacts broken down by gender and sorted by age.

My Appointments is a complementary dashboard accessible to all users. View your scheduling performance and appointment trends by payor, client, and more. The data contained in this dashboard comes from the information in the Billing module.

This dashboard displays:

  • Hours worked: a sum of hours worked over the last six months.
    • This number is the same as the total in the “Hrs” column of the Billing screen, with the same date range.
  • Distinct Clients (client count): a count of individual clients over the last six months.
    • The number of clients matches the “Client” column in the Billing screen, with the same date range.
  • Hours worked vs appointment trending: a comparison of hours worked and number of appointments broken out by month.
    • The number of appointments matches the number of entries in the Billing screen. The total hours of the appointments is compared to the number of appointments in the same date range.
  • Hours worked by payor: a sum of the total number of hours worked over the last six months grouped by payor and broken down by month.
    • The percentage breakdown matches the total hours by payor divided by the total hours in the “Hrs” column in the Billing screen, with the same date range
  • Hours worked per client: a total of hours worked for each distinct client over the last six months.
    • This number and the client names match the total hours worked for each client in the “Hrs” column in the Billing screen, with the same date range.

The Revenue Cycle KPIs dashboard tracks and measures your practice’s performance and growth, with days sales outstanding (DSO) on a month-to-month and year-to-year basis. View accounting aging percentages by categories, to improve your financial performance. This dashboard displays:

  • Year over year payments: a sum of payments made by month during the previous and current calendar years. Payments considered: cash, check, credit cards, and electronic.
  • Days sales outstanding trend: a trend of average DSO per month during the previous and current calendar years.
  • Current AR aging: a financial sum of all current accounts receivable broken out into aging buckets.
  • Client charges: financial trending information representing the sum of client charges per month over the last year.
