Electronic Visit Verification (EVV) / Sandata Sandata Reason Codes

Reason codes can be added to any EVV-enabled timesheet. If reason codes have been added to draft timesheets, users can then edit those reason codes. Users can delete reason codes that have been manually added to unsaved timesheets. However, once those timesheets have been saved or converted, reason codes and notes cannot be edited.

When any change to EVV data is made or validation fails, users with the (Billing > Manage Timesheets) permission enabled must input reason codes accepted by the state the services were rendered in. For example, if services were rendered in Colorado, the list of reason codes users can view and select from will only display reason codes accepted by Colorado.

Users with the (Timesheets > Edit Visit Verification Timesheet) permission enabled can add up to four reason codes to converted timesheets with service codes that have “Visit Verification” enabled. 

Please note, states do not provide guidance for inputting reason codes.

Electronic Visit Verification (EVV) / Sandata Sandata’s Supported Service Codes

Users with the (Billing > Manage Timesheets) permission enabled can send Electronic Visit Verification (EVV) information for service codes required by the state the services are rendered for. See below for some examples of service codes by state.

Electronic Visit Verification (EVV) / Sandata Visit Verification

Users with the (Billing > Visit Verification) permission enabled can view the “Visit Verification” screen in the Billing module. From this screen, users can view and edit EVV timesheets to send to Sandata and HHAeXchange (HHAX).

Click the checkboxes in the column on the left-hand side to select timesheets. Once timesheets have been selected, users can click Send or Send As to submit the entries to Sandata or HHAX. Within the same column, click the right arrow next to entries that have been sent to Sandata to view the most recent activity made to that entry. Click Omit Visit to omit the Sandata visit.

Click View full visit history to view all activity made to the Sandata and HHAX submission, such as when the entry was sent to and received by Sandata, updates made to records, and any errors in the entry if the submission was rejected by Sandata.

The “Visit Verification” grid consists of the following columns:

  • Status
  • Date: select a date within this column to edit the corresponding timesheet.
  • Time
  • Client: click the name of the client to view and edit their contact information in a separate tab
  • Payor
  • Provider: click the name of the provider to view and edit their contact information in a separate tab
  • Service / Auth
  • Location

Hover over any field within the “Client,” “Provider,” “Location,” and “Service / Auth” columns and select the funnel icon to filter the grid by that field.
