Learn / Clinical / Sessions How to Add Branches to an Existing Session

To add branches and branch types to an already created session:

  1. Navigate to the Clinical module and click Sessions
  2. Click on the session name to open the session
    • Or, click the icon to open a session in a new window
  3. Click the gear icon and then select Re-order/Edit Branches
  4. Select a learning tree in the Choose a learning tree… drop-down
  5. Click on the branches in the learning tree to add them to the session
    • Or, enter the name of the branch in the search bar
    • Click the funnel icon to filter branches by criterion level.
    • Click the All drop-down to filter branches by resource branch types.
  6. All branches added to the session will appear under “Current Branches”
    • To re-order branches, click and drag the icon next to each branch.
    • To delete branches, click the trash can icon and then click Yes to confirm the removal of the branch.

Adding branches to a session from a learning tree:

  1. In a learning tree, click the data collection icon next to the branch and select Add to a Session


    • If the branch has been previously added to the session:
      • Click the session name under “Remove from Session” to remove the target from the session
      • Click Yes to remove the branch from the session
  1. In the “Add To Session” pop-up, select the session to add it to the branch
  2. Click Add to Session

Learn / Clinical / Sessions Session Data Not Pulling Into Note

If you cannot locate your session data (summary), this usually occurs because on a previous date, the user did not End Session. Since the session summary is tied to the Start Date, only one session summary was generated and that date will have to be the one selected in the note to find your session summary.

You can check your Start Date by:

  1. Navigating to the Clinical module and click Sessions
  2. Click on the session and in the upper right-hand corner, click the clock  icon, which is the History
  3. Locate the session you want to review and you will see the Started: date, this is the date you will use to pull in your session data

Learn / Clinical / Sessions Unlock Audio

When you are on a Session and are prompted to Unlock Audio by your device browser, update your browser settings.

To update your browser settings:

  1. Click the browser menu on the top right-hand side of the browser toolbar
  2. Select Settings
  3. Scroll to the bottom of the screen and click Advanced 
  4. Click Content Settings
  5. Click Sound
  6. Enable the toggle Mute sounds that play sound 

Learn / Clinical / Sessions Add and View Comments in a Session

To add and view comments in a Session:

  1. Navigate to the Clinical module and select Sessions
  2. Click the Session you want to review
    • Or, navigate to the  Contacts module and select Clients
    • Click the name of the client you want to review Sessions for, then click the Session name in the Learning Trees widget, located in the client’s Dashboard
  3. All unseen comments added will be identified under each goal on the left sidebar, with a red notification with the total number of new comments pending to be viewed
  4. Click the goal you want to review or add comments to
  5. All comments that have not been marked as seen by any user will be displayed
    • Up to the last 10 seen comments will also be shown in the Session
  6. Scroll down on the right-hand side details panel and click to expand the Comments section
  7. Click the Mark as Seen  icon to acknowledge you have read the comment and remove it from the red notification counter
  8. Click Add a comment, type a comment, and click Enter. Once a comment is added, it will be counted as a new comment in the red notification center for other users with access to the Session to identify the new comment added
    • Click the Mark as Seen  icon if you want to mark a comment you have authored, as seen

Important Notes:

  1. If you added a comment, you and other users with access to the Session will have the option to Mark as Seen  
  2. If the comment was marked as seen, it will not have the option to Mark as Seen , or the username and timestamp when the comment was seen
  3. Comments can only be marked as seen once, no matter how many users have access to the Session. Once the comment is marked as seen by one user, no other user will have the option to mark it as seen

Learn / Clinical / Sessions How to Edit a Session Date and/or Time

A session date and time can only be modified when the session is active. The start and pause time of the current session can be modified, and the data will then be updated in the Session Summary. Once the session is completed or has ended, the time and date cannot be modified, and the Duration will be updated to the total session length.

To edit the time and/or date of an active session:

  1. On the active sessions page, click the pause icon
  2. Click the settings icon and select Edit Session Times
  3. Click the pencil icon next to the session you want to edit
  4. Under Start Time
    • Click the date field and select a start date from the calendar
    • Click the time drop-down and select a start time or enter the new time
  5. Under End Time
    • Click the date field and select an end date from the calendar
    • Click the time drop-down and select an end time or enter the new time
  6. Click the red save icon

While the session is still active, the Duration displayed in the Session Summary will be shown as 00:00:00 and will not be updated to the total session length until the session ends. Please note, changing the session time only changes the start, pause, and end times of the session and the same data on the session history. Changing the session time and date does not change the time the data was collected on the targets/branches from the session.

Learn / Clinical / Sessions Creating a One Time Group Session

You can create a one time group session to teach two or more students that are not taught together and do not need a classroom.

To create and start a one time group session:

  1. Navigate to the Clinical  module and select Sessions
  2. Click Group Sessions on the top right-hand side
  3. Go to the Individual Clients section
  4. Click Choose a Client and enter the client’s name
  5. Click the Choose a Session drop-down and select the client’s session
    • You must first have an individual session for the client in order to add them to a group session. Group sessions are made up of already created sessions
  6. Click Add Client
  7. Add more clients by repeating steps 4 to 6 above. Up to 6 clients can be added to the group session. You will see your clients populate in the list with an assigned color
  8. Click Start Session

Learn / Clinical / Sessions Access, Delete, or Edit Classroom Group Sessions

To access, delete, or edit a group session:

  1. Navigate to the Clinical module and then Sessions
  2. Click Group Sessions on the top right-hand side
  3. All created group sessions will be displayed under the Saved Classrooms section
  4. To access a group session click the classroom name
  5. To delete group sessions
    • Click the trash can  icon on the top right-hand side
    • Click the x icon next to the classroom you want to delete. The classroom will be immediately deleted
    • Click the trash can  icon to remove the option to delete from the classrooms
  6. To edit group sessions
    • Click the pencil icon on the top right-hand side
    • Click the pencil icon next to the classroom you want to edit
    • The Edit Classroom pop-up will be displayed. Edit the classroom name, clients’ order and sessions, delete clients, and/or add clients as needed
    • Click Save Classroom
    • Click the pencil icon to remove the option to edit from the classrooms

Learn / Clinical / Sessions Create a Group Session

To create a Group Session:

  1. Navigate to the Clinical module and select Sessions
  2. Click Group Sessions on the top right-hand side
  3. Go to the Create Classroom section on the bottom
  4. Click Choose a Client and enter the client’s name
  5. Click the Choose a Session drop-down and select the client’s session
    • You must first have an individual session for the client, in order to add them to a group session. Group sessions and classrooms are made up of already created sessions
  6. Enter a client’s name in the Choose a Client search bar and select a session in the Choose a Session drop-down
  7. Click Add Client
  8. Add more clients by repeating steps 4 to 6 above. Up to 6 clients can be added to the group session. You will see your clients populate in the list with an assigned color
  9. Click Enter a classroom name to enter the classroom name
  10. Click Save & Start Session and you will be redirected to start the group session
  11. Your classroom session will be added to the Group Sessions page, under the Saved Classrooms section

Learn / Clinical / Sessions Session Handoff

Session handoff allows two therapists to work together to continue each other’s data sheets.

  1. Therapist A takes data and pauses their Session 
  2. Therapist B logs in to a Session and selects Continue 
  3. Therapist B may pick up a data sheet where Therapist A left off 
    • Both therapists work together to hit minimum trials

Please note:

  • Session timers are tied to a single account at a time
  • If a Supervisor logs into a session, this will link the session timer to their account (removes therapist) 
  • Updates to client programming should be accomplished from the learning tree (or within a live session), and the therapist may refresh their screen to reflect new/updated targets
    • New targets may be added from a learning tree by clicking the graph icon and Add to a Session
  • Ending a session will delete the previous data from Therapist A

Learn / Clinical / Sessions Graphing in a Session: (Bulk & Manual)

To graph all (bulk):

  1. Navigate to the Clinical module and select Sessions
  2. Choose a Session
  3. Click Graph All

  • Targets with Data Collected (at least 1 trial collected & automatically checked)
  • Targets that cannot be graphed yet (no trials collected or Targets without Minimum Trials met)
  • Targets with No Data Collected (Ability to graph Duration as 0:00 & Frequency as 0)
  • Select Graph All 

4. This can function as an audit tool for therapists (targets to still take data on)

To graph manually:

  1. Navigate to the Clinical module and select Sessions
  2. Choose a Session
  3. Run a Task Analysis Again

4. Targets with Maximum Trials (Data point locked to a certain amount of trials)

  • Please note, in a session with no “Max Trial” set on a target, the session will always anticipate that data will be collected for one more trial. In the “Graph All Targets” summary page, users will then view the extra blank trial. The data, however, is still accurate and graphed correctly.

5. Track Behavior Reduction goals by episode (as opposed to total count/total duration)

Learn / Clinical / Sessions Session Summary and Learning Opportunities

Session Summary is everything a therapist is taking data on.

  1. Navigate to the Clinical module and select Sessions
  2. Choose a session or +ADD NEW
  3. Click the clock icon for Session Summary
  4. Click the arrows on the top right-hand corner to expand Session Activity for more information, such as:
  • Session Start/End Time/Date
  • Provider whom Started/Ended a Session
  • Session Duration
  • Number of Phase Changes
  • Provider whom Graphed
  • Session History (If started/paused)
  • Branches Not Run (Skipped or Minimums Not Hit)
  • Learning Opportunities Per Session 
    • Learning Opportunities (Counts every scored value as a count of 1)
    • Learning Opportunities per hour (Divides above count by session duration)
    • Raw Data also available in  Data History in the learning tree
    • Analysis of Raw data available in  Settings

The session tabs consist of:

  • The Save Progress button, which allows users to keep data in the data sheet until “Graph Target” or “Graph All” and “End Session” is selected.
    • An auto-save timestamp appears next to the “Save Progress” button, displaying the last time data was saved and if there are any unsaved changes. The auto-save timer saves data every 3 minutes, but does not graph any data.
    • Data collected after the previous auto-save will be saved. Users can also exit the session without saving data again after pausing the session.

Settings

  • Sharing & Access

    • Give and remove access to take data on a session, by clicking Share and the trash can  icon
  • Re-Order/Edit Branches
    • Select a learning tree
    • Add new branches (top panel)
    • Remove by clicking the trash can  or re-order by clicking the  and dragging the branches (bottom panel)
  • Timer Settings
    • Connect Rate/Time Sampling goals to the Session Timer (Start/Pause/Restart with main timer)
  • Edit Session Name

    • Changes name of data sheet
  • Delete Session
    • Moves the session under trash filter on the Session List

Learn / Clinical / Sessions Analysis & Programming View

  1. Navigate to the Clinical module and select Sessions
  2. Choose a Session
  3. View the following information in the client’s session:

    • Data Fields
      • Change Branch Name
      • View Branch (Learning Tree branch opens in new window)
      • Data collection type
      • Graph with last 3 graphed data points & most recent phase change lines (if applicable)
      • Last graphed data point
      • Date target was last graphed
      • Therapist whom graphed the last data point
      • Last 3 prompts used (max)
      • Number of trials last graphed
      • Autosave Timer (Every 3 minutes)
      • Graph Target (Manual)
        • Graphing Task Analysis multiple times
        • Graphing behavior by episode (Frequency, Duration, & Rate)
        • Graphing when Maximum Trials are established
        • Graphing Probe trials
          • Therapist Manually graphs after FIRST trial & in Bulk at the end of session
          • Graph First Data Entry Only must be selected on Targets for this workflow

      • Specifies trial values within a data point

      • Any blank trials (skipped or unselected) will show up in raw data as “No data collected”
    • Description Text

      • Displays description from the Data branch
    • Instructional Notes

      • Displays instructional note from the learning tree (Program Sheet)
        • Only filled in fields will appear
        • Place instructional notes on Short Term Goals to appear on Data branches in session & If Data branches have instructional notes as well (even if empty), the Short Term Goal notes will not appear

      • Displays most recent comments between staff about a target
      • New comments that have not been marked as seen will be included in the notification and in Session and on Learning Tree for 7 days
      • All past comments are housed in the Learning Tree Comments section

  1. Navigate to the Clinical module and select Sessions
  2. Choose a client’s session or +ADD NEW 

  • Suggested for Behavior Reduction, Timers, & Requesting Goals
  • Stays locked at the bottom of the screen (always available)
  • Optional FeatureABC (See ABC & Advanced Graphing Course)
  • Clicking on a Pinned branch will pull up corresponding information in Analysis & Programming View
    • If Pinned Targets include Prompts, the Prompts appear in the Analysis & Programming View

Learn / Clinical / Sessions NET View

  1. Navigate to the Clinical module and select Sessions
  2. Choose a client’s session or +ADD NEW
  3. In a client’s session, the following information is in NET view:

    • The Save Progress button, which allows users to keep data in the data sheet until “Graph Target” or “Graph All” and “End Session” is selected.
      • An auto-save timestamp appears next to the “Save Progress” button, displaying the last time data was saved and if there are any unsaved changes. The auto-save timer saves data every 3 minutes, but does not graph any data.

  • Restart Session: (Previous Session Ended)

  • Save Progress: allows users to keep data in the data sheet until “Graph Target” or “Graph All” and “End Session” is selected.
    • An auto-save timestamp appears next to the “Save Progress” button, displaying the last time data was saved and if there are any unsaved changes. The auto-save timer saves data every 3 minutes, but does not graph any data.
    • Data collected after the previous auto-save will be saved. Users can also exit the session without saving data again after pausing the session.
  • Stop Session : Clear data sheet (forfeits data without graphing)
  • Pause Session : Stops session timer & maintains data points

  • Graph All: Adds selected data to graphs (in bulk)
    • Targets with Data Collected (at least one trial & minimum trials met)
    • Targets that cannot be graphed yet (no data or minimum trials not met)
    • Targets with No Data collected (allows graphing Duration & Frequency as Zero)

Learn / Clinical / Sessions Create a Session

Sessions are client Data Sheets with goals originating from Learning Trees.

To create a new Session:

  1. Navigate to the Clinical module and select Sessions
  2. Click + ADD NEW on the top right corner
  3. Session Name: enter the name of the session
  4. Created for: enter the name of the client the session is being created for
  5. The client’s learning trees will be displayed on the left-hand side under the Choose Branches for New Session
  6. Click the learning tree you want to pull branches into the session from
    • Click Add All Branches to add all of the Learning Tree branches to the Session
    • Enter the branch or goal name in the Search… bar to find, select, and add a specific branch or goal to the Session
  7. Click the branch or goal you want to add to the session. Continue to add as many branches and goals to the Session, as needed
  8. All goals or branches added to the session will be included on the right-hand side under the New Session Branches section
  9. Click Create Session under the New Session Branches section
  10. Your session will be created to start collecting data

Please note:

  • Sessions are reusable and targets can be added, removed, and re-added as needed. Click Restart to start a “new” session and collect new data.
  • To prevent data loss, click the Save Progress button in the session headers to keep data in the data sheet until “Graph Target” or “Graph All” and “End Session” is selected.
    • An auto-save timestamp appears next to the “Save Progress” button, displaying the last time data was saved and if there are any unsaved changes. The auto-save timer saves data every 3 minutes, but does not graph any data.
    • Data collected after the previous auto-save will be saved. Users can also exit the session without saving data again after pausing the session.
  • End Session will clear the data sheet to be reused for the next user and should be clicked after graphing to prevent data loss.
