Tasks

The Tasks Module is represented by the bars icon and is where users manage, enter, define, assign and share projects with others. The main tasks grid provides a quick overview of the status of all projects.

Scheduling / Tasks How to Create a Task from the Scheduling Module

Users with the (Tasks > Access) permission can create tasks directly from the Scheduling module to keep track and follow up on work pertaining to appointments, such updating an appointment’s location. Tasks include links to access the appointment(s) they are associated with. 

To create tasks from the Scheduling module: 

  1. Navigate to the Scheduling module and select View my calendar, View as Grid, or Day Planner.
  2. Select the checkbox on the left-hand side and click Check all events or use (ctrl + click) to select at least one appointment to create a task for. 
  3. Click the Actions drop-down and select Add Tasks. 
  4. In the “Create task related to X appointment(s)” pop-up, complete the form with the following information. 
    • Name: name of the task. 
    • Description: a detailed description of the task. 
      • Click here if you are creating a task using a Task Template. 
    • When is it due?: enter the task due date. 
      • Assigning a due date will enable users to filter tasks in the Tasks screen and in the main menu of the Tasks module, by “Due Today” and “Overdue”.
    • Who is responsible?: click the drop-down to select one of the following: 
      • You: if the task is an assignment for yourself. 
      • Choose someone…: to assign the task to somebody else. 
        • Find Person/Group: enter the name of the person, group, or label the task should be assigned to. 
      • Leave unassigned: if the task should not be assigned to anybody. Use this option to create a queue of tasks that can be worked on and completed by other users in the organization. 
        • Who can see this task?: choose either All co-workers in my organization or Only providers matching a label. 
          • If choosing only providers matching a label, add labels in the Select Contact label search bar. 
    • Is this task on behalf of a person?: select one of the following: 
      • Yes: if the task is being created on behalf of another person. 
        • On behalf of: enter the name of the person the task is created for. 
      • No: if the task is not created on behalf of another person. 
    • Add Labels: enter labels, which allow users to filter and organize their tasks. 
    • Attachments: click Upload, Select Files, or drag the file to the Drop files here to upload to attach relevant documents to the task. 
  5. Click Create Task.
  6. When accessing the task, the list of appointments the task was created for is displayed on the bottom right-hand side of the task, with links to open and access each appointment.

Tasks / Support Tickets / Tasks How to Submit a Feature Request

Support Admins can submit Product Feature Request cases to CentralReach, via the CR Community or by the CentralReach team. Once a case is received, users will receive a confirmation and can track the status of the case thereafter. Support Teams can also open a case on a user’s behalf, and the user will then receive the status update notifications for their product feature.

To submit a feature request:

  1. Click your account name in the top right corner
  2. Select the Open Internal Ticket option
  3. Choose Feature Request as the “Ticket Type”
    • Explain the Feature Request in detail by including:
      • Case Reason: select Feature Request/Enhancement.
      • Area of Software: select the appropriate module.
      • Subject: provide a brief description of the idea.
      • Description: provide as many details as possible related to the idea (i.e. problem area, location in the product, issues that will be resolved by this request).
  4. Upon submission, the case will be reviewed by the CentralReach Support Team and Product Team.
  5. The status of the Feature Request can be viewed on the case detail page inside the Community via the “Product Team Details” section of the case.
    • Case Manager Review: request is being reviewed by the Support Team
    • Escalated to Product Team: request is being reviewed by the Product Team.
    • Declined: request does not currently meet the business rationale for development as a feature.
    • Roadmap: request is of value, but not a high priority, will be added to the roadmap for future development.
    • In Development:  request is related to a current work stream.
    • Development Complete:  request is being schedule for release.
    • Released to Production: request is live (see “Fix Version” for the specific release information.

Tasks Create a New Task

Users with the (Tasks > Access) Permission can create tasks from the Tasks module, Claims module, Home module, the Timesheets section of the Billing module, and the View my Calendar section of the Scheduling module. 

To create a new task from the  Tasks module:

  1. Navigate to the  Tasks module and select + Add New Task
  2. In the New Task screen, complete the form with the following information:
    • Name: name of the new task
    • Description: an optional detailed description of the task
      • Click here if you are creating a task using a Task Template
    • When is it due?: enter the task due date
      • Assigning a due date will enable you to filter tasks in the tasks screen and in the  Tasks module main menu by Due Today and Overdue
    • Who is responsible?: click the drop-down to select one of the following:
      • You: if the task is an assignment for yourself
      • Choose someone…: to assign the task to somebody else
        • Find Person/Group: enter the name of the person, group, or label the task should be assigned to
      • Leave unassigned: if the task should not be assigned to anybody. Use this option to create a queue of tasks that can be worked on and completed by other users in the organization
        • Who can see this task?: choose if you want All coworkers in my organization or Only providers matching a label
    • Is this task on behalf of a person?: select one of the following:
      • Yes: if the task is being created on behalf of another person
        • On behalf of: enter the name of the person the task is created for
      • No: if the task is not created on behalf of another person
    • Add Labels: enter labels, which allows you to easily filter and organize your tasks
    • Attachments: click Upload, Select Files, or drag the file to the Drop files here to upload to attach relevant documents to the task
  3. Click Create Task

Billing / Tasks Create a Task from the Billing Module

Users with the (Tasks > Access) Permission can create tasks directly from the Billing module to keep track and follow up on work pertaining to billing entries and authorizations, such as pending payments to be received from payors or authorizations that need to be renewed. Tasks include links to access the billing entries or authorizations they were created for. 

To create tasks from the Billing module:

  1. Navigate to the Billing module and select Timesheets, Billing, or Authorizations.
  2. Click the checkbox  next to the billing entries or authorizations you want to create a task for.
  3. Click the Actions drop-down and select Add Tasks.
  4. In the “Create task related to X timesheet(s)” (if creating a task from Timesheets), “Create task for X billing items” (if creating a task from Billing) or the “Create task for X authorizations” (if creating the task from Authorizations) pop-ups, complete the form with the following information.
    • Name: name of the task.
    • Description: a detailed description of the task.
      • Click here if you are creating a task using a Task Template.
    • When is it due?: enter the task due date.
      • Assigning a due date will enable you to filter tasks in the tasks screen and in the main menu of the Tasks module, by Due Today and Overdue.
    • Who is responsible?: click the drop-down to select one of the following:
      • You: if the task is an assignment for yourself.
      • Choose someone…: to assign the task to somebody else.
        • Find Person/Group: enter the name of the person, group, or label the task should be assigned to.

      • Yes: if the task is being created on behalf of another person.
        • On behalf of: enter the name of the person the task is created for.
      • No: if the task is not created on behalf of another person.
    • Add Labels: enter labels, which allow you to filter and organize your tasks.
    • Attachments: click Upload, Select Files, or drag your the file to the Drop files here to upload to attach relevant documents to the task.

5. Click Create Task.

6. When accessing the task, the list of billing entries or authorizations the task was created for will be displayed on the bottom right-hand side of the task, with links to open and access each billing entry or authorization.

Claims / Tasks Create a New Task from the Claims Module

To keep track of action items and work pending to be completed, pertaining to claims, such as following up on a claim status to confirm it has been successfully processed by a defined due date, create tasks for claims from the Claims module. Tasks created from the Claims module include links to easily access the claims the tasks were created for.

To create a task from the Claims module:

  1. Navigate to the Claims module and select Claims Manager
  2. Click the checkbox  next to all claims you want to create a task for
  3. Click the Actions drop-down and select Add Tasks
  4. In the “Create task related to X claims” pop-up, complete the form with the following information:

    • Name: enter the name of the task
    • Description: optionally, enter a description of the task
      • Click Use a Template if creating a task using a task template
    • When is it due?: click on the calendar  icon to set a due date and time for the task
      • Assigning a due date will enable you to filter tasks in the tasks screen and in the  Tasks module’s main menu, by Due Today and Overdue
    • Who is responsible?: select one of the following from the drop-down:
      • You: if the task is assigned for you
      • Choose someone…: to assign the task to someone else
        • Find Person/Group: enter the name of the person, group, or label the task should be assigned to
      • Leave unassigned: if the task should not be assigned to anybody. Use this option to create a queue of tasks that can be worked on and completed by other users in the organization
        • Who can see this task?: select one of the following from the drop-down:
          • All co-workers in my organization: all users in the organization can view and work on the task
          • Only providers matching a label: only users with desired contact labels can view and work on the task
            • Select Contact Label: enter contact labels to apply to contacts who can view and work on the task
    • Is this task on behalf of a person?: select one of the following:
      • Yes: if the task is being created on behalf of another person
        • On behalf of: enter the name of the person the task is created for
      • No: if the task is not created on behalf of another person
    • Add Labels: enter labels to easily filter and organize tasks
    • Attachments: click Upload, Select Files, or drag the file to the Drop files here to upload to attach relevant documents to the task
  5. Click Create Task
  6. To access the task, click the number in the Tasks  column of the “Claims Manager” grid. This number indicates the numbers of tasks associated with the claim
    • Or, navigate to the  Tasks module and select All Tasks
      • Click the name of the task
      • When accessing the task, the list of claims the task was created for will be displayed on the bottom right-hand side of the task, with links to open and access each claim.

Dashboard / Tasks Create a New Task from Home

To help streamline the process of creating a task for yourself or for a client, tasks can be created directly from the Tasks widget in Home.

To create a task from the Tasks widget in Home:

  1. Log in to CentralReach or navigate to Home
    • If you are creating a task for a client, navigate to the Contacts module and select Clients
    • Click the name of the client you want to create a task for
  2. Hover over the Tasks widget and click the new task  red button
  3. In the Compose Task pop-up, complete the form with the following information:
    • Name: name of the new task
    • Description: an optional, detailed description of the task
      • Click here if you are creating a task using a Task Template
    • When is it due?: the task due date
      • Assigning a due date will enable you to filter tasks in the tasks screen and in the  Tasks module main menu by Due Today and Overdue
    • Who is responsible?: click the drop-down to select one of the following:
      • You: if the task is an assignment for yourself
      • Choose someone…: to assign the task to somebody else
        • Find Person/Group: the name of the person, group, or label the task should be assigned to
      • Leave unassigned: if the task should not be assigned to anybody. Use this option to create a queue of tasks that can be worked on and completed by other users in the organization
        • Who can see this task?: choose either All coworkers in my organization or Only providers matching a label
          • If choosing only providers matching a label, add labels in the Select Contact label search bar
    • Is this task on behalf of a person?: if you are creating the task directly from the client’s Dashboard, the task will automatically be created on behalf of the client. Otherwise, select one of the following:
      • Yes: if the task is being created on behalf of another person
        • On behalf of: the name of the person the task is created for
      • No: if the task is not created on behalf of another person
    • Add Labels: enter labels, to filter and organize tasks
    • Attachments: click Upload, Select Files, or drag the file to the Drop files here to upload, to attach relevant documents to the task
  4. Click Create Task

Tasks View, Edit, and Navigate Your Tasks

Once users create a task, they can:

  • Access the task to review the details, history, and attachments
  • Update the task with more information
  • Mark it as a favorite
  • Assign it to another user
  • Update the due date
  • Mark the task as completed
  • Subscribe to receive notifications whenever there are updates made to the task

To view, edit, and navigate a task:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options, and filters available in the tasks grid to search and find a task.
  3. Task detail header
    • Assignee name: name of the user the task is assigned to. Click to assign the task to another user. If assigning the task to another user, users can view all task history at the bottom in View Task History.
      • In the grid, select “Stats” on the left-hand side filters panel to view “stats & totals” and if there was any time spent on a task.
    • Task due date and time: edit due date
    • View/Edit Labels : click to view the task labels and add or remove labels
    • Enable/Disable Notifications :
      • A blue bell  indicates the user has opted-in to receive notifications on this specific task.
      • A white bell indicates notifications are disabled for this specific task. Click to opt-in to receive notification on tasks. Notifications need to be set up in users’ profiles. Click here to learn how to set up notifications.
    • Add/Remove to/from Favorites :
      • A yellow star  indicates the task is marked as a favorite for your to easily filter it in the tasks grid.
      • A white star  indicates the task is not in not marked as a favorite. Click to mark it as favorite.
    • Delete Task : delete the task.
    • Duplicate Task : duplicate the task and use this task as a template for another task.
    • Complete Task : complete the task.

6. Add Attachment : add attachments

7. Comments: add additional comments and information to the task.

8. When comments are added, each comment section will have options to:

    • Delete Comment : delete the comment from the task.
    • Add Attachment : add attachments within the comment.
    • Pin Comment to Top: move the comment to the top of the list of comments related to the task. Once pinned, an option is available to unpin the comment.

9. View Task History: view all of the history and activity of the task

10. The right-hand side section has the following information about the task:

    • Labels: add or remove labels
    • Task ID: randomly assigned task Id
    • Created by: name of the user who created the task
    • Created on: date and time when the task was created
    • On Behalf of: name of the user the task was created on behalf of
    • Links to billing entries, authorizations, and claims, when the task was created from the corresponding modules.

Tasks Opt-In to Tasks Notifications

To receive tasks/support ticket notifications, you must first configure your account to receive notifications via email or via text messages, within the Profile section in the Dashboard module. You can set up your account to receive notifications on:

  • Tasks assigned to you
  • Tasks modified
  • Tasks completed or deleted

Once you have set up your account to receive notifications, you will receive notifications on all tasks opened by you when they are modified, completed, or deleted, and when there is a task assigned to you.

To opt-in to receive a notification on tasks that are not assigned nor opened by you, after completing your task notifications set up in your Profile, follow these steps:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options, and filters available in the tasks grid to search and find a task
  3. Click the bell  icon on the top right-hand side of the task to opt-in to receive notifications pertaining to this task
    • A blue bell  indicates you have opted-in to receive notifications on this task
    • A white bell indicates notifications are disabled for this task

Tasks Mark Task as Favorite

Marking a task as a favorite allows you to quickly filter and find your most important tasks in the tasks grid.

To mark a task as a favorite:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options and filters available in the tasks grid to search and find a task
  3. Click the star icon on the top right-hand side of the task to mark the task as a favorite
    • A yellow star  indicates the task is in your favorites
    • A white star  indicates the task is not in your favorites. Click to add it to your favorites

Tasks Delete or Reopen a Task

Tasks can be deleted in bulk from the tasks grid, or one by one from the task details page. If necessary, tasks deleted or completed can also be reopened.

To delete a task from the details page:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options and filters available in the tasks grid to search and find a task
  3. Click the trash can icon on the top right-hand side
  4. Click Yes in the Confirm pop-up

To delete tasks in bulk from the tasks grid:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the checkbox on the left-hand side column of the tasks you want to delete
  3. Click the  Delete button on the top of the tasks grid
  4. Click Yes in the Confirm pop-up

To reopen a deleted or completed task from the details page:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options and filters available in the tasks grid to search and find a task
  3. Click the reopen icon on the top right-hand side
  4. Click Yes in the Confirm pop-up

Tasks Complete a Task

Once you finish the work related to a task, the task can be completed. Tasks can be completed in bulk from the tasks grid, or one by one from the task details page. If necessary, tasks completed can also be reopened.

To complete a task from the details page:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options and filters available in the tasks grid to search and find a task
  3. Click the complete task  icon on the top right-hand side
  4. Click Yes in the Confirm pop-up

To complete tasks in bulk from the tasks grid:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the checkbox on the left-hand side column of the tasks you want to complete
  3. Click the  Complete button on the top of the tasks grid
  4. Click Yes in the Confirm pop-up

To reopen a completed task from the details page:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options, and filters available in the tasks grid to search and find a task
  3. Click the reopen icon on the top right-hand side
  4. Click Yes in the Confirm pop-up

Tasks Reassign a Task

Tasks can be reassigned to other users in your organization, or you can assign them to yourself. Tasks can be reassigned in bulk from the tasks grid, or one by one from the task details page. Please note, internal tickets cannot be reassigned once they are assigned to a Support Administrator.

To reassign a task from the details page:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the task Id or the task name under the Task column in the tasks grid
    • Use the search bar, toggles, options, and filters available in the tasks grid to search and find a task
  3. Click the name of the user on the left-hand side corner, type, and select the name of the new user you want to assign the task to
    • To assign the task to yourself, click the name of the user and then click Assign to me

To reassign tasks in bulk from the tasks grid:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the checkbox on the left-hand side column of the tasks you want to reassign
  3. Click the Reassign button on the top of the tasks grid
  4. Type and select the name of the new user you want to assign the tasks to
    • To assign all the tasks to yourself, click Me
  5. Click Reassign Tasks 

Tasks Tasks Bulk Actions

Tasks bulk options help you manage your tasks allowing you to update multiple tasks at the same time from the tasks grid.

To use the tasks bulk actions:

  1. Navigate to the  Tasks module and select All Tasks
  2. Click the checkbox on the left-hand side column of the tasks you want to update
  3. The following options will be displayed on the top of the tasks grid:
    • Label: add/remove labels to/from all of the selected tasks
    • Comment: add comments to all of the selected tasks
    • Reassign: reassign all selected tasks to another user or to yourself
    • Complete: complete all selected tasks
    • Delete: delete all selected tasks
