Organizations can set up company wide templates for prompting hierarchies and criterion settings. These templates can save time by automating agency standards for baseline procedures, prompting hierarchies, and criterion for mastery. With this feature, clinicians do not have to create criteria on each individual data collection branch. They can simply import the pre-made template. This saves time and reduces the opportunity for error.
To begin, the organization should assign users that can create and manage these templates. Users will need “Learn Manager” permissions, click here to learn how to assign those permissions.
To create a template:
- Navigate to the Clinical module and select Criteria and Prompting
- You will be brought to a folder of any stored templates. Previously created templates can be edited from this view
- Or, click +ADD NEW to make a new template

4. Name your criterion. For example, “80% mastery across 3 days” helps the end user identify the specific mastery criterion of the template
5. Write a description. Put a brief description to help the end user know they are selecting the right template. These descriptions will appear when the end user is selecting a template to use
6. Click Save

7. Create Phase Buckets and establish criterion within Phases. Choose Criteria Types:
- Hierarchal: a goal that automatically progresses to a different phase, such as Baseline, Intervention, and Generalization, based on a given criteria of mastery
- Maintenance: a special category in a phase hierarchy that allows the user to set intermittent data collection of a mastered goal, such as once every 5 sessions

8. For Criteria Type: Maintenance
- Sessions: establish a number of times a goal skips a session data sheet (E.g. Available every 5th session)

9. Click Add Criteria
10. Click on each Phase Bucket to edit the criteria
11. Prompting Strategies/Custom Fields establish prompt buttons for data entry. It is suggested to enter as “Most to Least,” (E.g. Full Verbal, Partial Verbal, Phonemic, etc). Type in a prompt name to add custom prompts, or choose from the list
12. Auto-Label is used to flag advancement/regression for filtering

13. Click the + on the right-hand side of each Phase bucket to expand the Calculation Type, Criterion Value, Frame Type, and Frame Value, which set criteria for mastery

14. Choose from Additional Options

- Auto-add phase change lines: automatically creates a phase change line each time a goal moves from one phase to the next. Upon choosing this option, you will be asked if you want to use the current phase label, such as Intervention, or create a custom label
- Hold Goal: the branch will be placed on hold if met. This will turn the branch orange in the learning tree and session
- Require two providers: require evaluated data for success to come from more than one provide as part of the criteria for a goal to be met
- Mark as goal mastered: automatically marks the goal as mastered if criteria is met
13. Click Save Target

Your newly created template will now be visible and editable by:
- Navigating to the Clinical module and selecting Criteria and Prompting
Once a template has been created, it can be used in any learning tree in the network:
1. Navigate to the Clinical module and select Learning Trees
2. Choose the branch of your choice
3. Click the pencil icon on the right-hand side to open up your data collection details of your target, allowing you to complete criteria and prompting settings
3. The user will be given the option to manually enter criteria and prompt settings, or to Select Template. If the user chooses to use a template, all the templates created by the organization (or authorized user) will be available to them. Choosing one of these templates auto-populates the criteria and prompt settings section of the data collection branch, however, the user can still customize the settings to individualize for their client


4. When a phase change occurs, the phase change line will be visible on all data graphs. In the Standard line graph or Standard with Trendline, phase change lines appear as solid black lines

5. In all other data graphs, phase changes will appear as an icon of a square inside of a circle

6. You can view data input and phase change history under the Data History tab on the goal’s branch
7. This is where you can view if a phase change occurred automatically or manually, and edit or delete the phase change line
8. If a phase changed in response to preset criteria, the User will show Auto-generated phase change. If the change occurred due to a manual phase change, the name of the user that executed the change will appear next to the phase change
