Tasks

The Tasks Module is represented by the bars icon and is where users manage, enter, define, assign and share projects with others. The main tasks also provide a quick overview of the status of all projects.

Tasks Creating a New Task

Tasks can be created from the Tasks , Claims , Dashboard  and Billing Modules.

To create a new task from the Tasks Module:

  1. Navigate to the Tasks Module  and select  Add New Task.
  2. Within the New Task screen, fill out the following.
    • Task Description – detailed description of the task.
    • When is it due? – task due date. Assigning a due date will enable you to filter tasks in the tasks screen by due date and review tasks overdue.
    • Who is responsible? – select one of the following:
      • Me: if the task is an assignment for myself.
      • Let me choose someone…: to assign the task to somebody else. Enter the person, group or label the task should be assigned to under the Find Person/Group field.
      • Leave unassigned: if the task should not be assigned to anybody.
    • Click Who can see this task? – select one of the following:
      • All co-workers in my organization: if everybody in the org should have access the task.
      • Only providers matching label: if you only want the users selected under Let me choose someone… to have access the task.
    • Is this task on behalf of a person? – select one of the following:
      • Yes: if the task is being created on behalf of another person. Note that the person will not receive notification of this action. If the person assigned the task is not in the same network as the person involved in the task, they will only be able to see their first initial and last name.
      • No: if the task is not created on behalf of another person.
    • Add Labels – labels allow you to more easily filter and organize your tasks.
    • Attachments – You can attach a file from your device by clicking Upload or by clicking and dragging a file into the dotted area labelled Drop files here to upload.
  3. Click Create Task.

Creating a new task from the dashboard :

You can create a new task from either a client’s or a generic’s Dashboard.

  1. Click on the Contacts icon at the top of the page then click either Contacts, Clients, or Generics.
  2. Click the contact you wish to add a task to.
  3. From the Tasks Due or Overdue widget click the plus button . If you do not see this widget it may need to be added.
  4. Fill out the task details and click Create Task when you’re done.

Creating a new task from the Claims  module:

  1. Click on the Claims  icon on the top of the page then select either Claims or Claims Manager within the dropdown.
  2. Click the checkbox next to all claims you wish to create a task for.
  3. Click on the Actions dropdown and select Add Tasks .
  4. Fill out the task details and click Create Task when you’re done.

Creating a new task from the Billing  module:

  1. Click on the Billing  icon on the top of the page then click Billing within the dropdown.
  2. Click the checkbox next to all billing entries you wish to create a task for.
  3. Click on the Actions dropdown and select Add Tasks .
  4. Fill out the task details and click Create Task when you’re done.

 

You’ll be able to see any tasks you create on the tasks grid. You will also be able to see any tasks assigned to you within the My Tasks Due or Overdue widget on your dashboard.

Tasks Deleting a task

If you no longer need a task, you have the option to mark it as deleted . You can still post comments within a deleted task, but users will not receive update notifications. Additionally, deleted tasks cannot be reassigned, completed, or edited.

Deleting a single task:

  1. Click on the Tasks icon on the top of the page then click Tasks within the dropdown.
  2. Click on the task you want to delete.
  3. Click on the Delete  button under the task details.

Deleting tasks in bulk:

  1. Click on the checkbox next to each task you want to delete.
  2. Click the Delete  button on the top of the page.

You can find deleted tasks by clicking on the All filter or by clicking More then Deleted at the top of the page.

Tasks Marking a task as completed

Once a task has been performed, you have the option to mark it as completed . You can still post comments within a completed task, but users will not receive update notifications. Additionally, completed tasks cannot be reassigned, deleted, or edited.

Completing a single task:

  1. Click on the Tasks icon on the top of the page then click Tasks within the dropdown.
  2. Click on the task you want to mark as complete.
  3. Click on the Complete button under the task details.

Completing tasks in bulk:

  1. Click on the checkbox next to each task you want to mark as complete.
  2. Click the Complete  button on the top of the page.

You can find completed tasks by clicking on the All filter or by clicking More then Completed at the top of the page.

Tasks Reassigning a task

You can reassign  any task that is not already complete, deleted, or reassigned. Reassigning a task will mark the existing task as reassigned and create a new one with a new ID number. You can still post comments within a reassigned task, but users will not receive update notifications. Additionally, reassigned tasks cannot be reassigned again, completed, deleted, or edited.

Reassigning a single task:

  1. Click on the Tasks icon on the top of the page then click Tasks within the dropdown.
  2. Click on the task you want to reassign.
  3. Click on the Reassign  button under the task details.
  4. Next to Who is responsible type in the name of the contact you wish to assign to.
  5. Click Create Task.

Reassigning tasks in bulk:

  1. Click on the checkbox next to each task you want to reassign.
  2. Click the Reassign  button on the top of the page.
  3. Within the popup, click Me or type in the name of the contact you wish to assign to.
  4. Click Re-Assign Tasks.

You can find reassigned tasks by clicking on the All filter or by clicking More then Reassigned at the top of the page.
